How to Fix KDP Formatting Errors: Diagnose the File Before You Re-upload

KDP formatting errors are easier to fix when you identify the stage and repair the editable source file. Use this current workflow for ebook, print, cover, font, bleed, and quality issues.

KDP formatting problems are easier to fix when you identify which layer is failing. An upload error, Kindle navigation problem, Print Previewer warning, manual quality-review rejection, and a live-book quality notification are different events and should not trigger the same repair process.

The fastest workflow is to preserve Amazon’s exact message, return to the editable source file, fix the underlying structure, export a new version, and preview the whole book again. Re-uploading the same file with a new filename rarely solves a real formatting defect.

Ebook Formatting Problems

For reflowable Kindle books, common failures include broken heading structure, missing or incorrect logical navigation, manual page-number references, unsupported layout techniques, bad image placement, forced text colors, and malformed EPUB structure. A file can convert successfully and still create a poor reading experience.

Use Kindle Previewer before upload and KDP’s Online Previewer after upload. Test the Go To menu, TOC links, chapter starts, images, tables, hyperlinks, and several device views rather than checking only the first pages.

Print Previewer Errors

Print Previewer checks margins, trim size, bleed, cover size, fonts, image resolution, and other production issues. KDP says failure to account for bleed is one of the most common reasons print manuscripts fail quality review.

If elements reach the page edge, the manuscript needs the correct bleed setup and must be uploaded as PDF. Text should remain within safe margins, including italic characters or invisible spaces that can extend beyond a text box even when the page looks fine at first glance.

Font Problems

Fonts can fail because they are not embedded, a required font face is missing, or fake bold/italic styling was used instead of the actual typeface variant. Problems can also hide in spaces, punctuation, headers, footers, or style definitions.

Fix the font in the source document or layout application. Export a fresh PDF with fonts embedded and inspect the file properties rather than flattening text to images, which can create accessibility and print-quality problems.

Cover Errors

A print cover must match the final format, trim size, page count, paper, and other production settings. Wrong spine width, insufficient bleed or wrap, text outside safe areas, low-resolution artwork, mismatched metadata, and an obstructed barcode area can all trigger problems.

Generate a new KDP cover template after the interior page count is final. Repair the editable cover source instead of stretching the rejected PDF to fit.

Quality Notifications After Publication

KDP’s Quality Notifications Dashboard can identify typos, image issues, formatting problems, and other reader-facing defects after publication. The publisher can indicate that an issue will be fixed, is not an issue, cannot be fixed, or in some cases appeal or decline a recommendation.

Treat these as product-quality work rather than account panic. Verify whether the flagged item is genuinely wrong, correct the source if needed, and keep a record of the version uploaded.

Use PDF Compliance Before the Print Upload

Rank Fuel’s free PDF Compliance Checker is useful as a preflight step for common production risks before the file reaches KDP. It should reduce avoidable rework, but KDP Print Previewer and Amazon’s manual review remain the final publishing checks.

A clean third-party scan is not a guarantee that Amazon will approve the file. KDP can evaluate rules and production conditions that a general preflight checker does not reproduce.

Use Publishing Troubleshooter When the Message Is Unclear

The free Publishing Troubleshooter is designed for situations where the author has an error message or symptom but does not know which KDP rule to investigate. Give it the exact message rather than a paraphrase such as ‘my file was rejected.’

The better the input, the more useful the diagnosis. Include format, trim size, software used, file type, and what Print Previewer or KDP said.

Version Control Prevents Repeat Failures

Name every export deliberately and keep the source, interior PDF/EPUB, cover, and upload date together. Files called final.pdf, final2.pdf, and final-final.pdf make it dangerously easy to re-upload the version Amazon already rejected.

After the fix, open the exact export you plan to upload. Do not trust that the export succeeded simply because the source document looks correct.

A Reliable Repair Sequence

Classify the failure, save the exact message, reproduce it in Previewer where possible, repair the source, create a clearly named new export, preview the entire book, and then submit. Check nearby pages as well as the single page Amazon flagged because layout problems often repeat.

If the message points to content policy, metadata, rights, or AI disclosure rather than file structure, stop treating it as a formatting problem and follow the relevant KDP policy instead.

Do Not Use a Print Fix for an Ebook Problem

Ebook and print production fail for different reasons. Reflowable Kindle files need semantic structure, navigation, responsive images, and readable text across devices. Print files need fixed geometry, margins, bleed, embedded fonts, and a cover sized to the final physical book.

A technique that solves one format can damage the other. Converting every page to an image can preserve a print-like appearance while creating a poor Kindle experience; allowing content to reflow freely is correct for Kindle but impossible for a print interior.

Keep a Production Diagnostic Log

For recurring publishing work, record the software, export settings, trim size, bleed choice, font package, file version, Previewer warnings, and the fix that resolved each issue. The next book then starts with a proven production recipe rather than rediscovering the same settings.

This is especially valuable when freelancers or team members touch the files. A documented handoff reduces the risk that the correct source is reopened with different export options months later.

Formatting triage

Identify the layer in this order

  • Format: ebook, paperback, or hardcover
  • Stage: upload, Previewer, review, or live quality notification
  • Object: interior, cover, metadata, or content
  • Exact Amazon message and page number
  • Editable source file that generated the upload
  • Fresh export after the fix
  • Full-book preview before resubmission

Frequently Asked Questions

What should I do first after a KDP formatting error?

Save the exact error message and identify whether it came from upload, Previewer, manual review, or a live quality notification.

Does KDP require PDF for print bleed?

Yes. KDP currently requires a PDF manuscript when interior content bleeds to the page edge.

Can I fix a rejected PDF directly?

Usually you should fix the original Word or layout source and export a fresh PDF so future revisions remain reliable.

What does Rank Fuel PDF Compliance do?

It provides a free preflight scan for common PDF production risks before KDP upload; Amazon’s own Previewer and review remain authoritative.

Is Publishing Troubleshooter free?

Yes under the current Rank Fuel entitlement model.

What if the error is actually about rights or content?

Follow the relevant KDP policy rather than repeatedly rebuilding the file. A structurally correct PDF cannot solve a content-policy problem.

A Formatting Error Is Usually a Source-File Problem With a Visible Symptom

Keep the production workflow reversible. When the editable source is clean and every export is versioned and previewed, KDP errors become much easier to diagnose and much less likely to return.
